What the engineer records

  • Each damper's result, tapped on site, with before-and-after photos.
  • The result is worked out from the answers - never picked from a list.
  • Open the job before you lose signal in the plant room.

The damper register

  • Import the site's register from a spreadsheet: reference, location, type.
  • Each damper keeps its own due date.
  • A location plan with damper dots, so the next engineer finds them.

Failed dampers and retests

  • A failed damper gets a retest that moves only the dampers retested - the rest of the site keeps its dates.
  • Retests show in the planner as due soon until booked.
  • BS 9999:2017 expects faulty dampers to be repaired or replaced immediately; the retest record shows it was done.

The certificate and test report

  • Satisfactory or Unsatisfactory certificate plus a full test report, as locked PDFs in your firm's branding.
  • The legal line for the site's nation: England and Wales, Scotland or Northern Ireland.
  • Office review, send back to the engineer if needed, then send to the client. What was emailed is what is stored. Corrections re-issue as Rev B, original kept.

Inspections

  • Damper inspections are included in Fire damper testing and inspections at no extra cost.
  • An inspection records what the engineer finds; it can bring a test forward but never replaces one.

Planner and invoicing

  • Month, week and day views: to book, overdue, due soon (damper areas and retests), booked.
  • Draft invoice in your own Xero from the sent job.

What the rules ask

  • Regulatory Reform (Fire Safety) Order 2005, Article 17 - facilities, equipment and devices provided for fire safety (fire dampers among them) kept maintained in efficient working order and good repair. Scotland: Regulation 16, Fire Safety (Scotland) Regulations 2006. Northern Ireland: Regulation 16, Fire Safety Regulations (Northern Ireland) 2010. legislation.gov.uk
  • BS 9999:2017, Annex W - test on completion, then at least annually; faulty dampers repaired or replaced immediately.
  • BESA DW145 (2024) - the industry's good-practice guide; four inspection types, with visual inspection the basis of all testing. BESA
  • For higher-risk buildings only, damper records also form part of the Building Safety Act golden thread.

SMART Reports records the work; it does not make a building compliant with any standard.
