TR19 Grease certificate software
TR19 Grease certificate software: the certificate your client's insurer actually reads
When a kitchen has a fire, or an insurer asks for evidence, the certificate is the document that gets read. It has to be clear, it has to be correct, and it has to come from you. This page walks through a real certificate produced by TR19 Grease, line by line.

| On the certificate | What it tells the reader |
|---|---|
| Your firm's name, address, company number and logo | Who did the work. The certificate carries your brand, not ours. |
| Site cleaned and system | Which kitchen and which system, so there is no doubt about what the certificate covers |
| Date the clean was done | When the system was last brought back to a clean state |
| Certificate reference | A unique code. Anyone can quote it to your firm to confirm the certificate is genuine. |
| Report reference | Links the certificate to the full post-clean report behind it |
| Mean post-clean deposit | The average grease thickness after cleaning, in microns, taken from the readings |
| Result | Pass or fail, in one word |
| Next clean or inspection due | The date the next visit is owed |
| How the frequency was set | Which table was used and why - for example, the usage level of the kitchen |
The result line puts the three things a reader looks for side by side: the mean deposit, the result, and the next date due.
Why a reference number matters
There is a real problem in the field: a generic certificate gets printed off, re-dated and shown as if it were new. A certificate is only worth something if it can be checked.
Every TR19 Grease certificate carries its own reference, and its wording tells the reader to quote that reference back to the firm that issued it. The same reference ties the certificate to its report and appears on the invoice in Xero, so the office can trace any certificate to the job, the readings and the bill. A copied or re-dated certificate fails that check.
The certificate never travels alone
Behind every certificate sits the full post-clean report. In the sample it runs to 14 pages:
- Readings before and after at each location, graded from Very Dirty to Clean
- Before and after photographs from nine locations
- A schematic of the system
- A description of what the system includes, and a completion checklist
See how the report is produced in our guide to TR19 Grease report software.
How the certificate gets made
The engineer records the readings on the phone, along with which frequency table applies to the kitchen. The mean deposit is worked out from the readings, so nobody adds it up by hand, and the next clean date follows from the engineer's choice of table. The office reviews the certificate and sends it to the client, the invoice goes to Xero, and the next clean appears in the planner.
Certified. Scheduled. Paid.
