Everything in one place
What a kitchen extract cleaning firm runs on
Most firms stitch the job together from a form app, a certificate website, a spreadsheet of due dates and their accounts package. SMART does each part, and passes the job from one to the next.
Sites and planner
Every kitchen, every system, and when each one is next due - due, booked and overdue at a glance.
Readings on the phone
Grease deposit readings and before-and-after photographs at each access point, recorded on site.
Post-clean report
Produced from the job in your firm's branding, reviewed by the office and locked once it is sent.
Certificate
Your logo, the mean deposit, the result, the next clean date and a reference anyone can quote back to you.
Invoice in Xero
A draft invoice in your own Xero from the sent job, with the certificate reference on it.
Moving across
Firms on Flow Mobile load their own export and their client book is in place.
One job, start to finish
How a job runs
Booked
The office books the clean from the site's page and it appears on the planner on its day.
On site
The engineer opens today's job on the phone and records readings and photographs.
Reviewed
The office checks the report, can send it back to the engineer to fix, then sends it.
Invoiced
A draft invoice is raised in Xero from the same job.
Next clean
The next due date is worked out from the system's cleaning frequency and waits on the planner.
Certified. Scheduled. Paid.
Choosing software
What to look for in kitchen extract cleaning software
- Readings, not just a tick box - the report should show deposit readings before and after, with dated photographs
- A certificate that can be checked, with a reference that ties it to the report and the invoice
- Next clean dates that set themselves from the cleaning frequency, so no site is forgotten
- Invoicing without re-typing
- A price that does not climb with every engineer - see cost per engineer
- Something you can try before you talk to anyone

Questions
Questions firms ask
Is it only for TR19 Grease work?
It is built for firms working to TR19 Grease: the readings, the post-clean report, the certificate and the cleaning frequency all follow that work. Your sites, planner and invoicing sit around it.
Do engineers need a special device?
No. It runs in the browser on the phone the engineer already carries, and on any laptop in the office. There is nothing to install.
Can we move our records across?
Yes. Firms on Flow Mobile can load their own Flow export with Import from Flow. Otherwise sites can be set up by hand, and we will look at automating any export you have. See switching from Flow Mobile.
How many users can we have?
As many as you need. The price is £90 a month flat, whatever the size of the team.
Can we see it before we sign up?
Yes. The live demo needs no sign-up and has guided tours, a sample report and a sample certificate.
Is our data kept separate from other firms?
Yes. Every firm gets its own database, set up for that firm alone. No database is shared, so your clients, sites, reports and photographs never sit alongside another firm's records.
Is it approved by BESA?
No. TR19 Grease is BESA's specification, and the software produces reports laid out to follow it. Smart Solutions is not affiliated with BESA and is not endorsed by it.
