Report sent
The office reviews the report and sends it to the client. Its content is locked from that moment.
Invoice raised
From the sent job, the office raises the invoice. A draft is created in your own Xero organisation.
Reference carried
The certificate reference goes onto the invoice, so any certificate can be traced to its bill.
Approve in Xero
You approve and send the draft from Xero, the way you already do.
No double billing
Rules that keep the money straight
- The price can be set or corrected after the report is sent, right up until the invoice is raised
- Once the invoice is raised, the price is fixed and the job shows "Invoiced"
- A job can only be invoiced once, so a second tap never creates a second invoice
- The report itself never changes after it is sent, whatever happens to the price

Set your VAT basis once
Exclude VAT
Prices are typed without VAT and Xero adds it. This is the default.
Include VAT
Prices are typed with VAT included, and Xero is told so.
Not VAT registered
No VAT is added to any invoice.

Questions firms ask
Does it connect to our own Xero?
Yes. Each firm connects its own Xero organisation in Settings. Invoices go into your books, not ours.
Does it send the invoice to the client?
It creates a draft in Xero. You approve and send it from Xero, so nothing is billed without you seeing it.
What if the price was wrong?
Correct it on the job before the invoice is raised. After that the price is fixed, so the app and Xero never disagree.
Do you work with other accounts packages?
Xero is the one connected today. Get in touch if you use something else.
Is it approved by BESA?
No. TR19 Grease is BESA's specification, and the software produces reports laid out to follow it. Smart Solutions is not affiliated with BESA and is not endorsed by it.
Is our data kept separate from other firms?
Yes. Every firm gets its own database, set up for that firm alone. No database is shared, so your clients, sites, reports and photographs never sit alongside another firm's records.
