A free template for the report the client receives after a ductwork clean or a hygiene inspection. Print it, use it as a check before a report goes, or see how the same report is built on the engineer's phone.
The template
Ductwork cleaning report template: the parts to include
- Building and systems. One building per report. Several systems can share it if each is clearly separate (TR19 Air 8.16, 8.21).
- Executive summary. For each system: Full Clean, Partial Clean, or Inspection with the outcome Clean or Not Clean, with the scope and the cleanliness class (9.2, 9.4).
- How it was verified. Visual, or measured by EVT (vacuum test) or DTT (deposit thickness test), stated for each system (9.4).
- Test points. Where the tests were taken. For sampling before and after a clean, at least three points on a system up to 250 m - beginning, middle and end - plus one per air handling unit (8.7).
- Results. Test results per system, at those points. After a clean, a measured result should be under 0.3 g/m² by EVT, for every class and service (8.13).
- Photos. Before and after photos at the same locations, backing up the visual check (9.4).
- Areas not cleaned. What was not cleaned, why, and what would allow a full clean (9.1, 8.16).
- Schematic. A drawing showing the areas cleaned and not cleaned, access panels added and the test points (8.19, 9.4).
- Hazards and access. Other hazards found and any limits on access, per system (9.4).
- Sign-off. The signing-off engineer's name and the date of attendance (9.4).
- Timing. The report goes to the client within 30 days of the last cleaning visit (8.16, 9.1).
Why it matters
Why the ductwork cleaning report matters
TR19 Air, Version 2 (March 2026), is BESA's specification for the cleanliness and hygiene of ventilation systems. It sets out what the post-work verification report should hold, and the clause numbers above point to where. The report is how the client shows the system was cleaned or inspected, what was found and what is left to do. This template is a list of those parts; it names no standard as met.
On the phone
The same report on the engineer's phone
In SMART Reports the office sets each system's class and air service, the engineer records each test point with its readings and photos, and the verification report and certificate go from the office, with lab results attached before the report goes. TR19 Air software is £90 a month, every engineer and office user included, no VAT charged.
