On site and in the office
Every LEV system, on one record.
What it does
From the hood to the report.
What the examiner records
- Each LEV system and its hoods or capture points.
- Readings at each test point, with photos of what was examined.
- The condition of hoods, ducting, filters and fan.
The report
- Defects found and the action needed.
- The office can open the draft PDF before it is issued.
- The date the next examination is due.
The paperwork
The LEV test report: what it shows
HSE guidance HSG258 sets out what the record of a thorough examination and test should hold. In plain terms, the report should show:
- Who and where. The employer, the site, and which LEV system was examined, with the process and the substance it controls.
- What it is meant to do. The performance the system was designed or commissioned to give, so the readings have something to be judged against.
- The conditions on the day. Whether the process was running normally while the test was done.
- What was found. The condition of each hood, the ducting, filter and fan, with the readings taken and how they were taken.
- Whether it still controls exposure. A clear answer for each system, not just a list of numbers.
- What needs doing. Defects found and the action needed, so the client can book the repair.
- Who examined it and when. The examiner's name, the date, and when the next examination is due.
LEV TExT lays the report out in that order, so the client and anyone checking it later can find each part quickly. More in our guide: what an LEV thorough examination report should show.
One job, start to finish
The LEV TExT reporting tool: how a job runs
The office books the examination against the client's site and the LEV systems already on record. The job appears on the examiner's phone with each system and its hoods or capture points listed.
On site, the examiner works through each system in turn: a look at the hood, ducting, filter and fan, the readings at each test point, and photos of what was examined. Anything wrong is recorded as a defect with the action needed, against the hood or part it belongs to.
When the examination is finished, the report is issued to the client as a PDF with the next examination date on it. The office can open the draft PDF before it is issued. The next date stays on the record for the office to plan the next visit.
When a hood is not controlling exposure, the defect and the action needed sit on the report beside the readings and photos, so the client sees why it failed, not just that it did. The examiner makes that call; LEV TExT records it with the evidence behind it.
Only staff you hold an examiner qualification for can be chosen to examine and issue a report, so the name on the report is someone you have checked.
The 14-month cycle
LEV testing every 14 months: keeping track
Regulation 9 of the COSHH Regulations asks employers to have their LEV thoroughly examined and tested at least once every 14 months. A small number of processes, listed in Schedule 4, need it more often. The records are kept for at least five years.
For a testing firm, that means every client site has its own clock. Miss one and the client is out of date; book too early and the visit costs more than it should. Putting the next due date on each report, and on the record behind it, is how the office keeps every site on time without a separate spreadsheet.
Check the HSE guidance for the processes your clients run. LEV TExT records the dates; it does not decide the interval for a process.

FAQ
LEV TExT software: questions firms ask
How often must LEV be examined and tested?
At least once every 14 months under COSHH, and more often for some processes.
What should the report show?
HSE guidance HSG258 sets out the record: the system, the readings taken, whether it still controls exposure, and any repairs needed.
Can I try it before signing up?
Yes - open the LEV demo and try it with a sample firm and fictional data.
Is LEV TExT part of SMART Reports?
It is built by the same team as our TR19 Grease, TR19 Air and fire damper reporting, and priced on its own.
Does it work on a phone and a laptop?
Yes. The examiner records hoods, readings and photos on the phone; the office books and follows the job on a laptop. Both see the same job as it changes.
Who can examine and issue a report?
Only staff you hold an examiner qualification for (P601 or P604) can be chosen to examine and issue. Anyone signed in can book a test.
