What the report must show
What a ductwork cleaning report has to show
Under TR19 Air (Version 2, March 2026) the post-work verification report goes to the client within 30 days of the last cleaning visit (8.16, 9.1). It states each system's class - Low, Medium or High (9.4), says whether the job was a full clean, a partial clean or an inspection (9.2), names any areas not cleaned and why (9.1), and shows how the clean was verified, with before and after photos at the sampling points (9.4).
Free to use: our ductwork cleaning report template lists every part.

How the report is built in SMART Reports

Real screens from the live demo - a fictional sample firm.
- The office sets each system's class (Low, Medium, High) and air service (supply, extract, recirculation) once - so the class is always on the report.
- The app suggests the minimum number of test points from the system's length and air handling units. A suggestion, never a block.
- On an inspection, the engineer names each test point with its deposit reading and photos. The outcome is worked out from the readings and the visual check - never picked from a list.
- On a clean, the engineer records how it was verified: checked by eye, or verified by lab sample. High-class systems always go to the lab.
- Inspections and cleans are booked on the same planner as grease and fire damper work.
Before it goes
Lab results attached before the report goes
The office records each lab result as it arrives and attaches the lab's certificate. Send waits until they are in - so the client never gets a "verified" clean with no verification attached.

The paperwork
The ventilation cleaning certificate
The verification report and certificate go from the office, locked, in your firm's branding - the same way as TR19 Grease and fire damper reports. What was emailed is what is stored. A correction re-issues as Rev B, with the original kept.

FAQ
Ductwork cleaning reports: questions firms ask
Is this the same as your TR19 Air software?
Yes. Ductwork cleaning and ventilation hygiene reports are the TR19 Air report type in SMART Reports. See TR19 Air software.
Does every clean need a lab result?
No. TR19 Air sets testing by class: Low, the client decides; Medium, recommended; High, testing must go ahead (Table 9). The engineer records which applies; High-class systems always go to the lab.
Does the engineer take readings on the phone during a clean?
No. On a clean the engineer records how the clean was verified - by eye or by lab sample. Deposit readings are recorded on inspections.
Is the schematic part of the report?
Not in the TR19 Air report type yet.
Does the app make our work conform to TR19 Air?
No software can. It records what TR19 Air asks a report to show, so nothing is left off.
Can we use it for kitchen extract and fire dampers too?
Yes - TR19 Grease and Fire damper testing and inspections are on the same app and the same planner. £200 a month for all three.
