Kitchen extract cleaning scheduling

Scheduling software that knows when every kitchen is due.

Every report you send works out the next clean. One planner shows what is due, booked and overdue, so no kitchen slips past its date and no engineer turns up to a clash.

How it works

The next clean works itself out

Due dates come from your own records, system by system, so the planner is right without anyone keeping a spreadsheet.

Each system, its own frequency

A busy fryer line and a quiet staff kitchen on the same site keep their own dates.

Report sent, next clean due

When the office sends a report, the next clean is counted forward and shows on the planner.

Existing kitchens, one date

For kitchens you already look after, type the last clean date once at setup.

Nothing guessed

A system with no frequency is flagged "No date set", never given a made-up date.

The due date appears by itself. The office still confirms each booking, so nothing goes in the diary without a person agreeing the day.

The planner

One planner, built from your sites

The planner fills itself from your sites. Each month shows the cleans booked, the reports waiting for review, what has been sent and what is still to book.

  • Look at the month, move a day, or pencil in a note
  • A week view for the detail
  • One figure estimates the year's work from your job prices - a planning figure, not your accounts
The Sites list with Due this week, Overdue and No next visit filters

Nothing slips

Every kitchen in one of four places

Due this week

Kitchens to book now, in one list.

Overdue

Kitchens past their date, to chase first.

No next visit

Systems with no due date yet, so they are never forgotten.

Deactivated

Kitchens you no longer clean, set aside but not lost.

When a visit is booked, clashes are caught before anyone makes a wasted trip.

On the engineer's phone

Today's jobs, ready when the van is

Each engineer opens the app to today's jobs, with the site, the address and the visit.

  • One tap starts the job, opens directions or calls the site
  • Readings and photographs go straight into the report
  • Once the office sends it, the next due date is set

Moving across

Already have a book of clients?

Bring your last clean dates with you and the planner carries every date forward from day one. On Flow Mobile? The import does it for you - see switching from Flow Mobile.

One early firm, doing grease and ventilation cleaning, loaded its existing clients with their last and next clean dates at setup. From there the planner carries every date forward.

Questions

Questions firms ask

Does it book the next clean by itself?

It works out the due date and puts it on the planner. The office confirms the booking, so the day is always agreed by a person.

Can different systems on one site have different frequencies?

Yes. Each system has its own frequency and its own due date.

Can I move a booked day?

Yes, from the planner.

What happens to the report itself?

The engineer records it on the phone and the office sends it with the certificate. See the guide to TR19 Grease report software.

Is it approved by BESA?

No. TR19 Grease is BESA's specification, and the software produces reports laid out to follow it. Smart Solutions is not affiliated with BESA and is not endorsed by it.

Is our data kept separate from other firms?

Yes. Every firm gets its own database, set up for that firm alone. No database is shared, so your clients, sites, reports and photographs never sit alongside another firm's records.
