Flow Mobile Surveying describes itself as "the fastest asbestos surveying software, from survey to report" (flowmobile.app, checked 5 October 2026) and also covers HVAC, fire safety and legionella. SMART is built only for kitchen extract cleaning firms working to TR19 Grease.

The import reads the Excel file Flow gives you and builds your book from it.

If a site has no cleaning frequency the import can read, it comes in marked "No date set", so nothing is guessed.

Export from Flow
Export your jobs list from Flow as an Excel file. Not sure where? We will walk you through it.
Import from Flow
In SMART, open Settings and choose Import from Flow. Any office login can run it. Engineers cannot.
Check the preview
Every client, site and system is listed before anything is saved. Untick kitchens you no longer clean.
Load and book
Your sites and due dates appear in the planner, and you can start booking.
The import can be run again safely if you need to top it up.
Honest about scope
What comes later
Your old Flow reports and job prices are the next stage of the importer. Until then, your past reports stay where they are, and every new report from your first job on SMART carries its own new certificate number. Ask us where that stage stands when you get in touch.
Try it before you move: open the demo's tour, choose "Move your records across", then "From Flow". It loads a made-up Flow file into your own browser, so you see exactly what your book will look like without sharing any data.

Do you need our Flow login?
No. You export your own file from Flow and load it yourself. We never sign in to your Flow account.
Will our clients get emails during the switch?
No. The import loads quietly. Clients only hear from SMART when you send them a report.
Can our engineers keep working while we switch?
Yes. Load the book in the office, then move engineers over from their next job.

We are not on Flow. Can we still move?
Yes. You can set up your sites by hand, and if your current system exports a file, get in touch and we will see if we can automate it.
Is our data kept separate from other firms?
Yes. Every firm gets its own database, set up for that firm alone. No database is shared, so your clients, sites, reports and photographs never sit alongside another firm's records.
