What a TR19 Grease post-clean report has to show

BESA's guidance sets out what a post-clean verification report should include:

  • Before and after photographs, taken from the same positions
  • Grease deposit readings, from a wet film thickness test or a deposit thickness test
  • A written summary of the work done
  • Notes on access limits, and any areas not reached
  • A hygiene certificate with the date, the location and the name of the technician

BESA's guidance also says grease deposits should be kept below a mean of 200 microns between cleans, and any area at 500 microns or more needs attention straight away. (Source: BESA's own guidance on cleaning kitchen extract systems.)

In the field, reports rarely fall down on site. They fall down in the office afterwards: a report heavy with photographs is too big to email, spare pages have to be deleted by hand, and the certificate is made separately in another system. That office work is what the software takes away.

How the report gets made, start to finish

  1. On site: the engineer records the readings and photographs on the phone, at each access point.
  2. Report and certificate: both are produced automatically, with your firm's own logo and a clear result line.
  3. Office review: the office checks the report and sends it to the client.
  4. Invoice: the invoice goes across to Xero, so nobody types it twice.
  5. Next clean: the next visit appears in the planner by itself, at the right interval.

A typical before and after

A two-person firm working mainly from the owner's phone had been juggling a form app, a separate website for certificates, Xero and a scanner app. Reports came out at around 48MB and had to be shrunk by hand before they could be emailed. Admin took 10 to 15 minutes a job. Now the report, the certificate and the invoice come out of one job on the phone.

Who built it

TR19 Grease was built by Edward Bristow BEng MSc MIET, founder of Smart Solutions Bristol Ltd. He spent more than 15 years in engineering, including business analysis at Babcock and commercial and project management at Atkins, before building software for construction and building services firms. TR19 Grease was built alongside working cleaning firms, from the way their engineers and offices actually work.

Can I put my own logo on the certificate?
Yes. The certificate carries your firm's logo, not ours.
